APEX Sales AI

APEX Sales AI is customer relationship management and outbound communication software for licensed insurance agents in the United States. A single application provides an automatic telephone dialer, bulk and two-way text messaging, a contact database, appointment scheduling, and screening of outbound activity against telemarketing restrictions. The software is developed by Caspian Solutions LLC, a company registered in Tampa, Florida, which describes the product as an AI-enabled CRM and operating system for agents working in the auto, home, life, health and commercial insurance lines (Crunchbase, n.d.).

Users are drawn mainly from agents conducting high-volume telephone sales, including those selling Affordable Care Act plans, Medicare products and life insurance policies. The developer states that the purpose of the software is to consolidate tasks otherwise divided among separate applications.

History

Caspian Solutions was established in Tampa, Florida, in 2024 by Rauf Verdiev and Oktay Khasiyev. Verdiev, the chief executive, had previously won a national Science Olympiad in nanochemistry and genetics, and Khasiyev's background is in computational biology and automation (Caspian Solutions, 2025). According to the company, an initial version of the system was assembled within twenty-four hours in the period following Hurricane Helene, and the platform was subsequently adopted by more than 500 agents (Caspian Solutions, 2025).

Background

Outbound insurance sales are commonly conducted using several separate applications: one to place calls, another for text messaging, a CRM or spreadsheet for contact records, a calendar for appointments, and a further tool for follow-up sequences. Data is transferred between these systems manually. In the absence of a shared record, a prospect may be contacted more than once, and an automated sequence may continue after the recipient has responded.

Caspian Solutions estimates the reduction in an agency's software expenditure achieved by consolidating these functions at approximately 40 percent (Caspian Solutions, 2025). The figure is attributed to the developer and has not been independently verified.

Components

The developer describes the following components.

Dialing. Calls are placed sequentially from a queue of contacts without the agent selecting individual numbers. Call outcomes are recorded against the corresponding contact record.

Messaging. Personalized messages may be sent to a contact list in bulk, with replies received in a two-way inbox. Sequences scheduled across several days terminate when a recipient responds.

Automation. Conditional rules are configured in a visual editor on a trigger-and-action basis, covering functions such as lead reassignment, task creation, message dispatch and stage changes. Thirty-one triggers and thirty-seven actions are available.

Contact import. Lists are uploaded in CSV format in batches of up to 50,000 records and screened against do-not-call data before contact is initiated.

Scheduling. Appointments are created within the platform and retained with the contact record and its associated call and message history.

Team administration. Agencies may configure owner, leader and member roles, distribute leads in batches or by round-robin allocation, and grant supervisors visibility of subordinate activity.

Compliance functions

Outbound calls and messages are screened prior to transmission against do-not-call registries and against the hours during which contact is permitted at the recipient's location. Opt-out requests are recorded and applied automatically to subsequent activity, and compliance determinations are retained in an audit log.

These functions correspond to obligations imposed on agents rather than on software vendors. Telemarketing calls and text messages are regulated principally under the Telephone Consumer Protection Act; in Medicare sales, third-party marketing organizations are additionally required to record enrollment calls. Compliance is listed among the company's stated areas of activity, alongside CRM and sales automation (Crunchbase, n.d.).

Artificial intelligence functions

The artificial intelligence functions of the platform are limited to assistive text generation. The system drafts message and email content and produces alternative phrasings of a given message so that bulk communications are not transmitted in identical form. It does not conduct autonomous exchanges with contacts; the timing and content of outbound communication are determined by the agent. Company material describes the design objective as reducing the extent to which agents must adapt their working methods to disconnected systems (Caspian Solutions, 2025).

Implementation

Deployment consists of importing an existing contact list, which is screened against do-not-call data before outbound activity begins. A set of predefined follow-up sequences is supplied with the product.
